CCS H&S Officer Job Descriptions
 


Below are brief descriptions of the many volunteering opportunities which are an integral part of our Home & School Association. There are many opportunities throughout the year for you to get involved. These activities benefit all of our children and would not exist without your help and commitment. Consider helping out in a variety of events/activities. It is a wonderful opportunity to meet new members of the Corpus Christi School Community and to have a positive impact on your child’s education.

HOMEROOM PARENTS:  (2 per classroom)
Homeroom parents’ are responsible for organizing, running and recruiting volunteers for class holiday parties and other events as requested by the teacher.  They also are responsible for collecting money for the teachers’ Christmas gifts.  They also may be needed to assist with or find volunteers to help with the major student fundraiser which usually takes place in the Spring.  Kindergarten homeroom parents will be needed to help run Kindergarten Field Day.  First Grade homeroom parents may be needed to host the social for Kindergarten Graduation reception.  



 

1st & 2nd GRADE SOCIAL – once a year
CHAIRPERSON: Organize entertainment, decorations and food. Send out a flyer advertising the event. Organize parent volunteers. Submit income and expenses to H&S Treasurer.
COMMITTEE: Assist chairperson from set-up to clean-up of the event, as needed.

 

3RD & 4TH GRADE SOCIAL - once a year
CHAIRPERSON: Organize entertainment, decorations and food. Send out a flyer advertising the event. Organize parent volunteers. Submit income and expenses to H&S Treasurer.
COMMITTEE: Assist chairperson from set-up to clean-up of the event, as needed.

5TH & 6TH GRADE SOCIAL - once a year
CHAIRPERSON: Organize DJ, entertainment, decorations and food. Send out a flyer advertising the event. Organize parent volunteers. At least two days prior to the event, request a cashbox from the H&S Assistant Treasurer. Submit income and expenses to H&S Treasurer.
COMMITTEE: Assist chairperson from set-up to clean-up of the event, as needed.


7TH/8TH GRADE DANCES – three per year
CHAIRPERSON: Organize DJ, entertainment, decorations and food. Send out a flyer advertising the event. Organize parent volunteers. At least two days prior to the event, request a cashbox from the H&S Assistant Treasurer. Submit income and expenses to H&S Treasurer.
COMMITTEE: Assist chairperson in set-up, clean-up and chaperoning of the event, as needed.

 

TRUNK OR TREAT - October

CHAIRPERSON:  Send out a flyer.  Organize the DJ, responses and parking passes, prizes, car set-up and security.

COMMITTEE:  Assist chairperson as needed.

 

FAMILY BINGO BASH - February
CHAIRPERSON: Organize entertainment, decorations and food. Send out a flyer advertising the event. Pre-sell the event and make a list of paid families. Order bingo supplies. Set-up a raffle with prizes. Sell raffle tickets during school hours & during the event. Organize parent volunteers. At least two days prior to the event, request a cashbox from the H&S Assistant Treasurer. Submit income and expenses to H&S Treasurer.
COMMITTEE: Assist chairperson as needed, from set-up to clean-up. Help choose and shop for raffle prizes.

MUFFINS WITH MOM - October 

CHAIRPERSON: Send out a flyer advertising the event. Pre-sell the event and make a list of paid families. Order food and drink. Organize parent volunteers. Take and distribute parent/student pictures. Submit income and expenses to H&S Treasurer.
COMMITTEE: Assist chairperson as needed, from set-up to clean-up.

DONUTS WITH DAD - April
CHAIRPERSON: Send out a flyer advertising the event. Pre-sell the event and make a list of paid families. Order food and drink. Organize parent volunteers. Take and distribute parent/student pictures. Submit income and expenses to H&S Treasurer.
COMMITTEE: Assist chairperson as needed, from set-up to clean-up

 

CHILDREN’S CHRISTMAS BAZAAR - December
CHAIRPERSON: Organize games/activities, select/order prizes, schedule Santa Shop vendor, coordinate bake sale items/snacks, and schedule volunteers. Send out a flyer advertising the event. At least two days prior to the event, request a cashbox from the H&S Assistant Treasurer. Submit income and expenses to H&S Treasurer.
COMMITTEE: Assist chairperson as needed, from set-up, to running a game, to clean-up.

FIELD DAY - June
CHAIRPERSON: Organize games/activities including a schedule for the day for each class. Order and distribute snacks. Organize volunteers to assist with the games. Submit expenses to H&S Treasurer.
COMMITTEE: Assist chairperson as needed, from set-up, to supervising an activity, to clean-up.

 

PARENTS’ SOCIAL EVENT - Fall & Spring

CHAIRPERSON: Organize entertainment, decorations and food.  Send out flyers advertising the event. Organize parent volunteers. At least two days prior to the event, request a cashbox from the H&S Assistant Treasurer. Submit income and expenses to H&S Treasurer.
COMMITTEES: Assist chairperson, as needed, during the event. Serve as a point-person or provide assistance with one of the sub-committees: Food, Beverage, Decorations, and Entertainment.

 


GRANDFRIEND’S DAY – once a year (event on school day in November)
CHAIRPERSON: Send out a flyer. Organize reception. (Order coffee, donuts, etc). Organize parent volunteers. Submit expenses to H&S Treasurer.
COMMITTEE: Assist chairperson as needed. Assist with set-up and clean-up.

 

 

 

CATHOLIC SCHOOLS’ WEEK - once a year (event is a Sunday in January)
CHAIRPERSON: Organize the Open House reception which includes decorations, kids activities, and refreshments (donuts, soft pretzel bites, water, coffee, etc.)  Invite all school and parish organizations to participate and have each one set up an information table in the social hall.  Highlight the school and answer any questions.

COMMITTEE: Assist chairperson as needed.  Assist with set-up and clean-up.

TEACHER APPRECIATION/BIRTHDAYS - monthly
CHAIRPERSON: Keep track of birthdays and distribute personalized cards/monetary gifts from H&S.  Deliver gestures of bimonthly appreciation to teachers’ mailboxes.  Coordinate bimonthly teachers’ luncheons.
COMMITTEE: Assist chairperson as needed

 

 

BOOK FAIRS - Fall & Spring

CHAIRPERSON: Schedule book fair(s) with vendor. Organize evening social, which may include ordering and selling a small snack. Send out flyers to advertise the event. Create a schedule for the volunteers. At least two days prior to the event, request a cashbox from the H&S Assistant Treasurer. Submit income and expenses to H&S Treasurer. Maintain spending account balance. Distribute books to classrooms and library.
COMMITTEE: Assist chairperson with decorations, family events, volunteers, etc. Assist chairperson as needed during the event. Assist with set-up, helping children select books, collecting money, re-stocking, and clean-up.

 

BOOK SOX - September
CHAIRPERSON: Check with teachers in June, to determine Book Sox order for the following school year. In the summer, place the Book Sox order. Send out a flyer advertising the event. Coordinate volunteers to help during sales. At least two days prior to the event, request a cashbox from the H&S Assistant Treasurer. Submit income and expenses to H&S Treasurer.
COMMITTEE: Assist chairperson during sales the first/second week of school.

BOXTOPS & LABELS FOR EDUCATION - ongoing
CHAIRPERSON: Keep a tally of incoming labels. Submit to vendor for rebates. Send out flyers requesting labels from parents. Submit income to the school principal.
COMMITTEE: Assist chairperson as needed, counting the labels.

KID STUFF BOOKS - October

CHAIRPERSON: Order, distribute and track sales of books. Submit income and expenses to H&S Treasurer.
COMMITTEE: Assist chairperson during initial distribution of books (one or two days).



AUGUST ENVELOPES – August (A Friday morning selected by office from 9 til 11)

CHAIRPERSON: Coordinate volunteer schedule. Fill envelopes with Back to School correspondence.
COMMITTEE: Fill envelopes on selected date.

SCHOOL DIRECTORY - September
CHAIRPERSON: Work with the school office to obtain updated family information.  Coordinate cover art contest with Art teacher. Coordinate with the printer to have the directories printed and bound.


UNIFORM EXCHANGE - ongoing
CHAIRPERSON: Send out flyers to request gently used uniforms for exchange. Sort and display clothing during uniform exchange events.  Collect uniform requests and fulfill orders.
COMMITTEE: Assist chairperson, as needed, during the events and periodic organizing.

 

HOT DOG DAY - once a month
CHAIRPERSON: Place food, drink, and chip orders for monthly Hot Dog Day. Organize parent volunteers. Cook and provide food to the students. Submit income and expenses to H&S Treasurer.
COMMITTEE: Assist with food preparation, distribution and clean up.


DAILY PRETZELS - One morning a week or every other week depending on number of volunteers.
CHAIRPERSON:  Organize weekly volunteer schedule.
COMMITTEE: Count money received from each classroom and fill the pretzel order. Provide daily income to school office for deposit.

BOOK SWAP - June
CHAIRPERSON: Send out flyers to advertise the event. Collect books from classrooms. Organize books for the swap. Assist children with book selection.
